Director of Operations


Hybrid remote/on-site. Candidates must reside in Washington State and be able to come to our HQ in Spokane, Washington at least once per week. Can be 80% remote work. This is an unpaid volunteer position. Internships may be available depending on your institution. This is for a local 501(c)3 non-profit charity. Very flexible hours. Part-time.


We have three positions available for this role.

We need to fill the roles at the:

  1. Assistant (entry-level)
  2. Manager (3-5 years experience)
  3. Director levels (5+ years experience).


To help us continue growing, we’re seeking an experienced director of operations to join our team. The role requires outstanding organizational, communication, and leadership skills and an ability to develop innovative solutions in a dynamic setting. The director of operations will work closely with directors and team leads to develop long-term plans that usher in new levels of productivity and success for the organization.


We are 100% volunteer-run. Most volunteers at RPG Research have full-time jobs, school, family, etc., so we are very understanding and flexible about scheduling and variability of availability as life happens week to week. All of our volunteer staff, including executives, board, founders, etc., are unpaid volunteers.

OBJECTIVES & RESPONSIBILITIES

  1. Part-time (average 4 to 6 hours per week (no more than 10), locally and remotely coordinating with volunteer staff.
  2. Manage, schedule, and organize staffing of our regular weekly community programs and special events.
  3. Organize and supervise weekly administrative staff meeting.
  4. Check-in and manage department heads for:
  5. HR/Staffing/Volunteer Coordinator
  6. Community Outreach/Fundraising
  7. Weekly and monthly program scheduling and resources allocation and management
  8. Make certain sufficient Game Masters are slated to run tables at our programs at various locations and online.
  9. Make certain sufficient supervisory staff are slated to oversee our programs at various locations and online.
  10. Make certain staff assigned as receptionist for our HQ community center during public access hours.
  11. Work with financial administrators to plan and maintain budgetary compliance
  12. Very flexible schedule (set your own hours).
  13. Use our Enterprise Resource Planning (ERP) platform for data analysis and performance metrics.
  14. Collaborate with senior staff in the development of performance goals and long-term operational plans.
  15. Maximize efficiency and productivity through process analysis and interdepartmental collaboration.
  16. Set strategic goals for operational efficiency and increased productivity.
  17. Work with project managers in the development of financial and budgetary plans.
  18. Analyze current operational processes and performance, recommending solutions for improvement where necessary.
  19. Passionate about our programs and role-playing gaming.
  20. We will train appropriate candidates as needed.


CHALLENGES

  1. RPG Research is 100% volunteer run at all levels. Not a single member of staff, including the founders, make any money through RPG Research; we are here to serve.
  2. We stress that all of our volunteers must be careful to not overload on commitments or hours, so they are encouraged to remain with the organization year-after-year, rather than the typical volunteer model at other organizations that tends to burn them out. We try to keep all volunteers to an average of around only 4 to 6 hours per week, with a maximum of 10 hours per week, using a distributed teams work-load model. We have many volunteers that have been with us for 4+ years because it is such a welcoming caring environment and everyone loves what they are doing and supportive of each other and life balance.
  3. Our programs support a wide range of populations, from 2 years old through senior adults, including people with disabilities, brain injuries, and Deaf/HoH, Blind/VI, and a broad range of neurodiversity.
  4. Our staff comes from a wide range of populations, cultures, disciplines, interests, and languages.
  5. Many of our volunteer staff members have a variety of disabilities, brain injuries, or neurodiversities, so compassion, considerate patience, and sometimes repeated follow-up is critically important to keep things running.

  12. Willingness to commit to 6 month minimum as operations assistant or 1 year at the manager/director level, and always try to recruit and train a replacement if transitioning away.
  13. Commit to an average of 4 to 6 hours per week (flexible schedule), no more than 10.
  14. Must pass background check.
  15. For entry-level position must be 14 years or older. Minors will need additional paperwork releases completed by parents/guardians.
  16. For manager and director level positions must be 18 years or older.

Will train at any level, and for entry-level slot no prior experience necessary, prefer someone with 3+ years experience for the management and director-level slots.


IDEAL QUALIFICATIONS

  1. Superior knowledge of multiple operational functions and principles, including finance, customer service, production, and employee management.
  2. Strong working knowledge of industry regulations and legal guidelines.
  3. Experience in developing budgets and business plans
  4. Superior negotiation skills for both internal and external purposes
